Features and how they fit together

Understand source files, workspaces, PDF tools, audio review, layers, exports and activity.

Updated 2 October 2026

Originals and the review workspace

RedlinerHQ connects to your organisation’s storage. Source libraries hold the originals. A separate workspace holds review layers, audio review copies and finished exports. Saving a review does not overwrite the source PDF or audio.

Microsoft organisations can use SharePoint sites or selected folders. Google Workspace organisations use Google Shared drives, with separate drives for originals and the workspace. Personal Google My Drive is not a supported source. Google setup is currently available for pilots; see the setup guide before planning a Google rollout.

Watch the workflow

Silent screen recording with on-screen captions: open an assigned PDF, highlight text, draw and stamp, save markup, compare layers, then play audio, loop a region and save a timestamped note. It finishes with the administrator’s setup checklist and protection settings. The steps and screenshots in these guides provide the text alternative.

Follow Your first review alongside the video. The guides explain each action without needing to play it.

Settings shape the experience

The same file can have different available actions for different reviewers. Folder roles control what a person can do; client policy can further restrict downloads, printing, copying and original-audio playback. Shared or private review settings determine whether colleagues’ layers appear.

Browser protections help discourage misuse and record supported actions. They cannot prevent screenshots, external recording, or access someone already has directly in SharePoint or Drive. See Protection and activity for the practical limits.
